Best Agency Management Software 2026: Compared by Agency Size

Eleven agency management and PSA tools compared on published pricing, seat minimums, billing, and resource planning, with picks by agency size. Pricing checked September 2026.

TL;DR: For small agencies that want project management with billing, Teamwork.com (invoicing and retainers from $24.99/user/mo, 5-seat minimum) is the lowest-cost full option. Productive and Scoro suit growing agencies that need resource planning and financials in one place; Scoro requires 5 seats. Function Point and Workamajig are built specifically for creative and advertising agencies. Kantata and Accelo fit larger firms with an implementation budget. ConnectWise is built for IT managed service providers, not agencies.

Most "best agency software" lists are written by a vendor who ranks itself first and leaves out the pricing. That makes them hard to use.

This comparison is built differently. Every price below comes from the vendor's own pricing page, checked on September 15, 2026. Review themes come from each product's Capterra reviews, and we only list a complaint when several different reviewers raise it. Where a vendor does not publish something, we say so instead of guessing.

Disclosure: we build Vantage, an agency PSA that is currently in early access. We cover it in its own clearly labeled section at the end and do not rank it against tools that have years of customer reviews.

How We Evaluated

Agency owners told us the same four things decide whether a tool sticks:

Does tracked time turn into an invoice without a spreadsheet in the middle? If time and billing live in different systems, revenue leaks in the handoff.

Does it handle the billing models you actually sell? Retainers with hour drawdown, fixed-fee projects, and time-and-materials, often for the same client.

What does it really cost to start? Per-user price times the seat minimum, plus any paid add-ons for accounting sync, client portals, or reporting.

Will your team use it every day? We looked for recurring complaints about speed, complexity, and learning curve, because those predict adoption better than feature lists.

Teamwork.com

Teamwork.com calls itself "AI-powered professional services automation" for client-service teams. It started as project management and has added billing and resourcing over time, so it feels natural to agencies that organize around projects and tasks.

The free plan covers up to 5 users. Basics is $9.99 per user per month billed annually with a 3-seat minimum, and Accelerate is $24.99 with a 5-seat minimum. Invoicing from logged time, retainers, and QuickBooks all start on Accelerate, Xero is supported, and revenue and profitability insights sit on the quote-only Optimize plan. There's a 14-day trial.

Reviewers repeatedly mention slowness on large projects and an interface that feels cluttered at first. It's a good fit for small to mid-size agencies that want project management first with billing added, as long as you budget for Optimize if profitability reporting is the reason you're buying.

Productive

Productive pitches itself as "purpose-built for agencies, consultancies, and other professional services businesses," with resources, projects, and finances in one platform. Essential is $10 per user per month billed annually ($12 monthly), Professional is $25 ($29 monthly), and Ultimate is by quote. No seat minimum is stated, and there's a 14-day trial.

Resource planning, budgeting, and a sales CRM with multiple pipelines are built in. Clients can be invited as users at no charge, and it exports invoices to QuickBooks Online and connects to Xero. Reviewers mention a learning curve and reporting that feels clunky. It suits agencies of roughly 10 to 100 people that bill retainers and want forecasting next to delivery.

Scoro

Scoro sells "one platform for projects, resourcing, and finances" to consultancies, agencies, and engineering and architecture firms. Its four preset plans are Time-billing at $17 per user per month, Projects & Resources and Quote to Cash at $29, and End-to-end at $57. Every plan requires at least 5 users, annual billing is discounted 13 to 17 percent, and there's a 14-day trial.

Scoro is strongest on the commercial side, where quotes, the sales pipeline, and billing connect to delivery, though the CRM and pipeline come with End-to-end. QuickBooks and Xero integrations are paid extras and the customer portal is a paid add-on. Reviewers describe it as overwhelming to learn and pricey for small teams. It fits agencies of 5 to 50 or more people that want quote-to-cash in one system and will use the top plan.

Function Point

Function Point is "built for creative agency owners," with a pitch aimed squarely at over-servicing and margin. Standardize is $53 per user per month billed annually ($58 monthly), Optimize is $62 ($68 monthly), and new customers pay an onboarding fee that isn't published.

It's one of the few tools designed only for agencies, with a sales pipeline, campaign and project budgeting, resource forecasting by role, batch invoicing, a client portal, and QuickBooks Online on Optimize. Reviewers mention training time and occasional lag, though many of the reviews on Capterra's first page are several years old. Small to mid-size creative, marketing, and PR agencies that want an agency-specific tool and don't mind paying for it are the fit.

Workamajig

Workamajig calls itself "the all-in-one agency management software for advertising and marketing agencies." It's $49 per user per month at 10 or more users, $47 at 25, and $45 at 50, with a month free on annual payment. Enterprise is custom, and the pricing page doesn't mention a trial.

Instead of syncing to accounting software, it includes a complete accounting package, alongside resourcing, a sales CRM on the Agency plan, and unlimited client and vendor logins. Reviewers consistently describe a clunky interface with too many clicks and limited bulk editing. It works best for advertising and marketing agencies of 10 or more people that want project management and accounting in one system.

BigTime

BigTime calls itself "your financial brain behind every project" and says it serves more than 3,000 professional services firms, mostly in accounting, architecture, consulting, engineering, and IT. Essentials starts at $20 per user per month, and the higher tiers aren't priced on its site.

Time tracking, invoicing, expenses, and payments come on every plan, along with native QuickBooks Desktop and Online integration and sync with Xero and Sage Intacct. Higher tiers add a client payment portal. Reviewers call out a weak mobile app, a dated interface, and accounting sync that doesn't always run reliably. Finance-minded firms already on QuickBooks get the most from it, and agencies are a secondary audience.

Accelo

Accelo sells "AI-powered PSA software" to consulting, accounting, engineering, architecture, agency, and IT firms. It acquired Forecast in July 2025 and finished the brand merge in May 2026. Pricing is quote-only, with no published plans or free trial.

It covers time tracking, automated invoicing, retainer, fixed-fee, and hourly billing, capacity forecasting, and profitability tracking, with QuickBooks Online and Xero integrations listed. Reviewers describe a steep learning curve and slow page loads, and review summaries mention implementation and add-on costs. Most of those reviews predate the Forecast merger, and Forecast customers still sign in separately from core Accelo. It fits established service firms with someone who owns operations and can run an implementation.

Kantata

Kantata, formerly Mavenlink, markets itself as a mid-market and enterprise PSA, and pricing is by quote. It goes deep on resource management, project financials, and revenue forecasting, with a strong Salesforce connection. Reviewers describe a complex product with a steep learning curve, and some small teams say it felt heavy for their needs. It makes the most sense for agencies and services firms of roughly 50 people and up that can support a real implementation.

Parallax

Parallax describes itself as "the strategic resourcing and forecasting layer for professional services firms." Pricing is by quote and scales by resources managed, starting at 15.

It handles capacity planning, pipeline-aware forecasting, and margin prediction by reading your existing CRM and time tracking tools instead of replacing them. Invoicing still happens elsewhere, since Parallax doesn't present itself as a billing system, and reviewers mention a real learning curve and export limits. It suits agencies that already have a CRM and time tracker and need better forecasting on top.

Harvest and Harvest Forecast

Harvest is time tracking and invoicing, and Forecast is its separate scheduling product. Together they're the stack a lot of small agencies start with. Harvest is free for one seat and two projects, $9 per seat per month on Teams billed annually ($11 monthly), and $14 on Enterprise ($17.50 monthly). Forecast is $5 per person per month billed annually and is billed separately. Both have 30-day trials.

Time tracking is simple and fast, and invoicing plus QuickBooks and Xero integrations come on every plan. There's no native CRM, though, and resource planning lives in a second product. Reviewers mention limited reporting and invoice customization and per-seat costs that climb as the team grows. Freelancers and agencies under about 10 people with straightforward billing are the fit.

ConnectWise PSA

ConnectWise PSA is a mature, capable platform built for a different business. Its billing page is titled "MSP Billing & Invoicing Software," most of its Capterra reviewers work in IT services, and pricing is by quote with demos rather than a trial. ConnectWise launched a redesigned PSA on its Asio platform in 2025, but reviews on Capterra still describe a dated interface, a steep setup, and a slow experience. It's the right tool for IT managed service providers, and creative and marketing agencies are usually better served by the tools above.

How to Choose by Agency Size

Under 10 people. Keep the entry cost low and avoid seat minimums you will not fill. Harvest plus Forecast covers time and invoices. If you want projects and billing in one place, Teamwork.com Accelerate is the lowest published price with invoicing and retainers included.

10 to 50 people. This is where a real PSA pays for itself, because leakage between time, projects, and invoices grows with every person you add. Compare Productive, Scoro, Function Point, and Workamajig on the billing models you actually sell. Set up one real retainer, one fixed-fee project, and one time-and-materials engagement during the trial.

50 people and up. Kantata and Accelo are built for firms that can run an implementation. Parallax is worth a look if forecasting is the main gap.

Whatever your size, add up the true first-year cost: per-user price times seats, plus seat minimums, onboarding fees, and paid add-ons for accounting sync, client portals, or reporting.

Worth Watching: Vantage (Our Product, Early Access)

We build Vantage, so weigh this section accordingly.

Vantage is a PSA for digital agencies with 5 to 50 people. It connects client management, projects, tickets, time tracking, and invoicing (time-and-materials, fixed fee, and retainers with hour drawdown) in one system, with financial dashboards and QuickBooks Online sync. It also includes an encrypted credential vault for client logins, which most PSAs leave to a separate password manager.

Published pricing is $49 per user per month billed annually or $59 monthly, with no feature tiers.

Vantage is in early access, so it does not have the public review history of the tools above. If that trade-off works for you, join the waitlist.

Frequently Asked Questions

What is agency management software?

Agency management software combines the systems an agency runs on: projects, time tracking, budgets, invoicing, and client records. The category overlaps with professional services automation (PSA). The key difference from project management tools like Asana or Monday is that agency management software connects tracked time to billing and profitability, so you can see whether a client or project actually makes money.

How much does agency management software cost?

As of September 2026, published prices run from $9.99 per user per month (Teamwork.com Basics, which does not include invoicing) to $62 per user per month (Function Point Optimize, billed annually). Seat minimums change the real entry cost: Scoro requires 5 users on every plan, and Teamwork.com Accelerate requires 5. Accelo, Kantata, ConnectWise, and Parallax publish no prices and quote each customer.

What is the best agency management software for a small agency?

For agencies under about 15 people, the deciding factors are seat minimums and whether invoicing is included on the entry plan. Teamwork.com Accelerate includes invoicing from logged time and retainers at $24.99 per user per month with a 5-seat minimum. Harvest with Harvest Forecast is cheaper for very small teams but is time tracking and invoicing rather than a full PSA. Tools with quote-only pricing and implementation projects, such as Kantata, are usually a poor fit for small agencies.

Which agency management tools integrate with QuickBooks?

BigTime integrates with QuickBooks Desktop and Online on all plans. Harvest includes QuickBooks and Xero on all plans. Teamwork.com includes QuickBooks from the Accelerate plan up. Function Point includes QuickBooks Online on its Optimize plan. Scoro offers QuickBooks and Xero as paid extra integrations. Productive exports invoices to QuickBooks Online. Accelo lists QuickBooks Online and Xero integrations.

Is ConnectWise PSA good for marketing or creative agencies?

ConnectWise PSA is built for IT managed service providers. Its billing page is titled "MSP Billing & Invoicing Software," and most of its reviewers on Capterra work in IT services. Agencies can use it, but its agreements, ticketing, and service-desk model are designed around IT support contracts rather than creative projects and retainers.

Does Accelo still exist?

Yes. Accelo acquired Forecast, a UK-based PSA, in July 2025 and completed the brand merge in May 2026. Forecast.app now redirects to Accelo.com, though Forecast customers still sign in to a separate Forecast PSA login. Accelo pricing is quote-only.
